This Privacy Policy explains how Iron Wing Logistics LLC, the operator of Kelevo TMS ("Kelevo TMS," "we," "us," or "our"), collects, uses, shares, protects, and retains information when you use Kelevo TMS, visit the Kelevo TMS website, contact Kelevo TMS, create an account, start a trial, subscribe, or interact with Kelevo TMS services.
Kelevo TMS is a business-to-business service. If you use Kelevo TMS through your employer, carrier, dispatcher, or another organization, that organization controls the business data submitted to the service and may manage your account, access, exports, and deletion requests.
1. Information Kelevo TMS Collects
Account And Contact Information
Kelevo TMS collects names, email addresses, phone numbers, login credentials, account roles, organization names, company details, support messages, contact form submissions, and related communications.
Business And Operational Data
Customers may submit load records, broker and shipper details, pickup and delivery locations, rate confirmations, invoices, bills of lading, proofs of delivery, payment records, settlement statements, accountant recipients, notes, documents, vehicle records, driver and owner-operator records, dispatch details, and other transportation management data.
Billing And Tax Information
Kelevo TMS collects subscription plan, billing status, billing address, tax location data, tax IDs if provided, invoices, payment status, and Stripe customer and subscription identifiers. Stripe processes payment methods. Kelevo TMS does not store raw card numbers.
Device, Usage, And Log Information
Kelevo TMS collects IP address, browser type, device information, pages and features used, event logs, authentication logs, diagnostics, error reports, timestamps, and security records. Kelevo TMS may use cookies or similar technologies for authentication, security, preferences, analytics, and site operation.
2. How Kelevo TMS Uses Information
- provide, operate, secure, monitor, troubleshoot, and improve Kelevo TMS;
- create and manage accounts, organizations, roles, trials, subscriptions, and billing;
- process payments, calculate taxes, provide invoices, and manage cancellations;
- import, parse, extract, normalize, display, and store operational documents;
- generate load, invoice, payment, and settlement workflows requested by users;
- send transactional emails, product notices, billing notices, and support replies;
- detect, prevent, and investigate fraud, abuse, security incidents, and policy violations;
- comply with legal, tax, accounting, reporting, audit, and dispute obligations; and
- analyze aggregate or de-identified usage to improve product reliability and usability.
3. AI And OCR Processing
Kelevo TMS may process uploaded or forwarded documents through OCR, parsing, machine learning, or AI-assisted extraction tools to identify load details, rates, stops, references, invoices, payments, and settlement-related data. These tools process Customer Data only to provide, maintain, support, secure, and improve Kelevo TMS.
Kelevo TMS does not sell Customer Data or intentionally use Customer Data to train third-party foundation models. Subprocessors may process Customer Data under their own security, confidentiality, and data-processing obligations to provide the services Kelevo TMS uses.
4. How Kelevo TMS Shares Information
Kelevo TMS may share information with:
- service providers and subprocessors that provide hosting, database, storage, backups, payment processing, tax calculation, email, support, analytics, security, monitoring, AI/OCR, and infrastructure services;
- authorized users and recipients configured by Customer, including dispatchers, drivers, owner-operators, accountants, administrators, and support contacts;
- payment and tax providers, including Stripe, to process subscriptions, invoices, payment methods, taxes, refunds, and billing records;
- professional advisors, auditors, insurers, and legal representatives where needed for business, compliance, dispute, or legal purposes;
- authorities, courts, regulators, or third parties when required by law or needed to protect rights, safety, security, or prevent abuse; and
- a successor or acquirer in connection with a merger, financing, acquisition, reorganization, sale of assets, bankruptcy, or similar transaction.
Kelevo TMS does not sell personal information. Kelevo TMS does not share personal information for cross-context behavioral advertising as those terms are used in California privacy law.
5. Customer Responsibilities
Customer is responsible for providing required privacy notices, obtaining consents, and having a lawful basis to submit and process information about users, employees, drivers, contractors, owner-operators, brokers, shippers, consignees, accountants, and other people whose information is entered into Kelevo TMS.
6. Security
Kelevo TMS uses reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, hosted payment processing, encryption in transit, monitoring, backups, and operational security practices. No online service can guarantee absolute security. Customer is responsible for account access controls, strong credentials, user permissions, endpoint security, and promptly reporting suspected compromise.
7. Retention
Kelevo TMS retains information for as long as needed to provide the service, maintain accounts, support customers, comply with legal and financial obligations, resolve disputes, enforce agreements, preserve security, maintain backups, and protect against fraud or abuse. Operational and settlement records may be retained when needed for accounting, tax, audit, dispute, legal-hold, document-retention, or compliance purposes.
Backups and logs may persist for a limited period after deletion from active systems. Kelevo TMS may retain de-identified or aggregate information that no longer identifies a person or customer.
8. Privacy Choices And Requests
Depending on your location and relationship to Kelevo TMS, you may have rights to request access, correction, deletion, portability, restriction, objection, or information about how personal information is used and shared. To make a request, contactinfo@kelevo.ai. If your account is controlled by a Customer organization, Kelevo TMS may direct your request to that organization or require its authorization.
9. Cookies, Analytics, And Do Not Track
Kelevo TMS may use cookies and similar technologies for authentication, session management, security, preferences, analytics, performance, and site operation. Browser "Do Not Track" signals are not standardized, and Kelevo TMS does not currently respond to them. If Kelevo TMS uses analytics or tracking tools, those providers may collect information about activity across the Kelevo TMS site and services according to their own policies and Kelevo TMS configuration.
Kelevo TMS does not intentionally send names, emails, passwords, tokens, document contents, addresses, raw URLs or query strings, payment-card data, rate amounts, or exception stacks to third parties.
10. Marketing Communications
Kelevo TMS may send product updates, launch notices, educational content, or marketing emails. You can opt out of marketing emails by using the unsubscribe instructions in those emails or by contacting Kelevo TMS. Kelevo TMS may still send transactional, billing, security, account, and service-related messages.
11. Children
Kelevo TMS is not intended for children and is not directed to people under 18. Customers must not submit children's personal information to the service.
12. International Use
Kelevo TMS is operated from the United States. If you access the service from outside the United States, information may be processed and stored in the United States and other countries where Kelevo TMS service providers operate.
13. Changes To This Policy
Kelevo TMS may update this Privacy Policy from time to time. Kelevo TMS will post the updated version with a new effective date. For material changes, Kelevo TMS may provide notice through the service, email, or another appropriate method.
